Edit a Changelog Entry's Category, Format, and Text

Edit changelog entries to update their category, format, text, publish date, and translations across your Help Centers, whether still in draft or already live

You can change the category, format, text, feed date and translations of any changelog entry, whether it's still a draft or already live for readers. Only people who may apply documentation changes in your organization can edit entries (in practice, admins). Other members see the same entry, but every field is disabled and there's no action to save.

Open the entry

  1. Go to the Changelog
Open the Changes page, either through the "Changes" workspace in the main navigation or by choosing "Handoff" in the command palette. At the bottom of the left-hand column, below a divider, click "Changelog". The count next to it shows how many drafts are waiting.

  2. Pick your Help Centers
The changelog only lists entries for the Help Centers selected in the Help Center filter at the top of the page. If you see "Select a Help Center to view its changelog.", choose one or more Help Centers in the filter strip and the entries load.

  3. Click the entry you want to change
Entries are split into two sections: "Drafts" (not published) and "Published". Each row shows the heading, the category (New, Update or Fix), the date readers will see (or "Publish day" if none is set yet), and a status marker:

    • "Writing…": the text is still being written
    • "Needs a look": the entry needs a human review
    • "Edited since publish": a published entry that has changed since it went live

Click anywhere on the row to open the entry.

Make your changes

  1. Set the category and format
At the top of the entry, click "New", "Update" or "Fix" to change the category. Next to it, the Format control has three options:

    • Featured: a block of its own in the feed, with heading and body
    • Compact: one line, folded together with the day's other compact entries under their category
    • One line: a single sentence in the day's list, without the heading in front

These choices only change the form. Nothing goes live until you save. If the entry was written from source changes and you pick a different format, you'll see "You changed the format to . Rewrite the text for it?". Click "Ignore" to keep your text as it is, or "Rewrite" to save the format and have the text rewritten from the sources in that format.

  2. Edit the heading and body
Type in the "Heading" field, then edit the "Body" below it. The body toolbar offers Bold, Italic, Heading, Bullet list, Numbered list and Link. The body supports one level of heading, both list styles and links. Code blocks, quotes and horizontal rules aren't supported. A plain newline stays as a line break.

To add a link, click Link, enter the address and click "Apply". Only absolute HTTPS addresses work, so "Apply" stays unavailable until the address is one. If your cursor is inside an existing link, you can also click "Remove link".

Want fresh text instead? Open the entry's overflow menu and choose "Rewrite from sources". If you've already edited the text yourself, you'll be warned that your edits are replaced and this can't be undone.

  3. Adjust the feed date
The "Feed date" section decides which day of the changelog the entry is listed under. Use the links next to it to switch:

    • "Use the day of the change"
    • "Use the publish day"
    • "Pick a day", which opens a date field. As you set a day, the entry shows how far it is from today, like "Yesterday" or "In 2 days".
  4. Edit translations (published entries only)
Once an entry is published, a "Languages" section lists the source language first, then each other language with its state. Open a language row to read and edit that translation's heading and body by hand. These edits go out with your next update.

Save your edits

  1. Save or update the entry
The bar at the bottom of the entry shows where it stands, like "Unsaved edits." or "Published, edited since.", and offers the right button:

    • Draft: click "Save". This keeps the draft, and nothing reaches readers.
    • Published entry: click "Update". Your edits are saved and go live in one step.

To throw your changes away instead, click "Discard". If you try to leave the entry or close the browser with unsaved edits, you'll be asked "Discard unsaved edits?". Click "Keep editing" to stay, or "Discard and leave" to drop them.

The button is unavailable in two cases. "Needs a heading and a body." means one of those fields is empty. "The text is still being written." means you have to wait for the automatic text to finish. If saving fails, you'll see "Saving failed" and your unsaved text stays in the form so you can try again.

An update to a published entry reaches readers immediately, and the other languages are translated again in the background. Until a translation arrives, readers of that language see the source text.
