How can I define my own glossaries and terminology?

You define custom glossary terms in the Glossary section of your HappySupport workspace. Once defined, these terms are automatically used by AI content generation and HappyChat to keep your documentation consistent.

Adding a glossary entry

  1. Click "Glossary" in the left sidebar under the "Article Quality" section.
  2. Click "+ Add Entry" in the upper right corner.
  3. Enter the term you want to standardize in the "Term" field.
  4. Add a definition in the "Definition" field, or click "Generate" to let AI create one for you.
  5. Optionally add negative examples (common misspellings or incorrect variations) and usage examples.
  6. Click "Add Glossary Item" to save.

What glossary terms do

Your glossary integrates with two parts of HappySupport:

AI content generation: When you use AI to generate or improve article content, it references your glossary automatically. The AI uses your approved terminology instead of generic alternatives.

HappyChat: Your glossary terms are injected into HappyChat's system prompt. The chatbot uses your defined terms when answering user questions, so responses match your documentation.

Adding usage examples and negative examples

Usage examples show correct usage of a term. Negative examples highlight incorrect or discouraged variations.

To add them:

  1. Open the glossary term you want to update.
  2. In the Examples section, click "Add Example" or "Add Negative Example".
  3. Enter the sentence or phrase.
  4. Click "Save".

For example, if your glossary defines "HappySupport" as the correct term, you might add "happy support" and "happysupport" as negative examples.

When changes take effect

Updates to your glossary apply immediately to new AI operations. HappyChat picks up glossary changes the next time it processes its system prompt. So it is recommended to set-up your glossary before you generate any support content in HappySupport.

Note: The glossary feature is only available on Professional plans.
